Uploading Images & Files to the emfluence Platform

With your emfluence Marketing Platform account, you can upload and store files (including gif, jpg, jpeg, png, zip, pdf, ics, ical, vcf, and zip files). To upload a file, go to the Content Section and click Uploaded Files. Because you shouldn't be using large images in your emails, emfluence does limit a single file to be less than 1MB for image files (such as jpg and ping). The limit for gifs is 3MB. The limit is 10MB for PDF files. If you need to edit an image after uploading it the emfluence Marketing Platform, you can use the Photo Editor.

You will see system folders for your Images and files. You can see all your other files from the Files folder.

File names can’t include any spaces, so the Platform may rename your file and tell you what the file was renamed. Also, because your image will get turned into a URL to be shared in your email, it is important to remember never include any non-standard characters in the file name (such as ',#,%, { {[, and other non-standard characters) which will get transformed into an HTML value when uploaded that may break the URL when shared. Any such characters will get replaced when the image is uploaded. The Library will refresh and you’ll see your new image or file in the folder. You’ll now be able to insert your image or link to your file from an email or landing page.

In your file menu, you can click on the three dots which will appear when you hover over a folder. This is a kabob menu which will open and give you folder options. The menu will allow you to create a new subfolder underneath the existing folder, rename the folder, and delete the folder. NOTE: Renaming or deleting the folder can cause issues if any files within that folder are part of an existing template or automated email. You should use caution when taking this action. As with file names, you want to be careful to not use any characters that might break as part of URL.

To upload a file, first be sure you’re in the folder you wish to add the file to. Then, click Upload. Browse your computer for the file you want to upload. (JPG, GIF, PDF, Flash or iCal). You can also drag one or more images into the window.

Once loaded in, you can select any image by clicking on it. You will see a checkmark applied for all selected images. You can select multiple images. At the top of your Uploaded files choices will appear. You can Move your file(s), Copy your file(s) to another location, or delete them. NOTE: When moving or deleting your files be careful not to delete any images or other files that are part of a template or being used in an active automated email and their deletion will cause broken images to appear in emails. Moving images to another folder can also cause URLs to break.

If you have opened Uploaded Files in the email or landing page editor you will also see a Select button which will allow you to select that image to add into your content.

You also have a menu of options available on a single image. Clicking your kabob menu (the three dots at the bottom right of an image) will expand your menu options. In the menu you can Open your image (have it open in a new tab), Preview (see a preview of your image pop-up above your Uploaded Files), Download your image, Copy the URL of the image, Rename your image, Move your image, Copy Your Image, and Delete your image. NOTE: Renaming a file can cause URLs to break in existing templates and emails as well as moving the file to another location or deleting it.

Note: Large images and attachments (such as PDFs) shouldn't be used in email as they will limit your deliverability. Some inboxes begin to show drop off in deliverability when the entire email (not just images) exceeds 100KB. emfluence caps an individual image (JPG, PNG, or GIF) at 1MB.

Image Editor

The photo editor, which can be accessed in the Uploaded Files section, will allow you to make changes to images uploaded to your account. To use the editor, find your image and click on the kabob menu (the three dots in the lower right) to launch the menu. Find and select Edit Image. This will launch the edit inside your Uploaded Files.

In the editor you will be able to resize, crop, transform, and edit your image using the bottom menu.

To use Resize, click the Resize icon in the bottom of the photo editor, type in your new dimensions and click Apply. To Crop, click on the Crop icon at the bottom of the editor and either use one of the pre-selected boxes, or manually choose the dimensions you wish to crop, and click Apply.

Once you have made a change, make sure to click the apply button. If you wish to undo your change you can click the cancel button in the bottom menu, or if you need to remove a change after it has been applied you can use the back arrow in the top menu of the editor. The layers icon in the top menu will allow you to see and edit the added layers to your image.

You can add layers such as Text, Shapes, Stickers, and Frames on top of your image. Follow the menu to choose and edit your choices. To edit the size of your text element or added element or sticker, drag the corners of the element to grow or shrink it.

When saving an edited image you will be given the choice to save as a new image or overwrite the existing image. If your original images is already in the email or landing page prior to making your changes, it is possible your browser may cache the original image, even after your changes. Because of this, we suggest saving as a new image.

Shared Files for Resellers

Resellers who can access different accounts through a single login have the ability to access a Shared Files folder from any of the individual accounts. Any images uploaded to that folder by a Reseller Admin are available to all users across each of the reseller accounts. You must be a Reseller Admin in order to add or remove images from this folder but all users have access to the images across each account.
