Contact Ownership & Sharing Contacts
By default, both Client Admins and Unrestricted Users have access to all contacts uploaded into an account. However, Restricted Users are only allowed to see contacts they own. Restricted Users are meant for a franchise or sales model in which you want to silo contacts, preventing users from seeing each other's contact list. The contacts would either have been uploaded by the Restricted User or had the owner reset to be the Restricted User by a Client Admin. If a Restricted User attempts to add a contact that is already in the account but owned by another user they will receive and error message as you cannot add a contact twice and a contact can only have 1 owner. To give Restricted Users access to a contact they didn't upload themselves (or is currently owned by someone else) you can either modify them as the Owner of the contact or allow the contact to be viewed by additional users.
Overwrite Ownership
Client Admins have multiple ways to give Restricted Users access to contacts. First, they can make the Restricted User the Owner of the client. This can be done either on the client record itself or on an import. Only Client Admins have this ability.
To set the Owner on a client record, do a search for a contact and expand the contact record by clicking the email address. In the modal, find the Owner dropdown, select the new Owner, and Save.
To set the Owner on an Import, choose the Import as User Option on Step 3 of Import Contacts. You can either Choose Only to allow anyone not yet in the platform (i.e. brand new contacts) to be set as the Restricted User or also check the box allowing you to overwrite any existing contacts and set the Owner as the Restricted User of your choice.
Sharing Contacts
If you don't wish to change the Owner of a contact and wish for multiple Restricted Users to share a contact, the other choice would be to share the contact to additional users aside from the owner. This can either be done on the contact record or in bulk in search results. Only client admins have this ability.
As with setting Ownership, Client Admins have the ability to also share contacts to multiple restricted users by selecting and adding them under Additional Users. Remember to Save. Once a contact is shared with a Restricted User, that user has the ability to see that contact and (if they have the proper permission) edit the contact as well.
Contacts can also be shared from Contact Search results where a group of contacts can be chosen to be assigned to an additional Restricted User by clicking on the Manage Additional Users icon and then choosing the Restricted Users within the modal.
