Adding Contacts to Automated Emails
Contacts are normally added to automated emails through groups or decisions in workflows. If you create a single auto-responder tied to a specific group the system will create a workflow for you. Once your emails are active and your workflow is published you can begin feeding the group. If your initial group in a workflow is a dynamic group, the query will run to match current recipients prior to the next send. If your initial group is a static group, simply adding new contact(s) to the group will trigger them to begin the process through the system. NOTE: If you connect a group with members prior to activating the email and publishing the workflow, those contacts WILL NOT receive the email. The trigger is being added to the group (if they were added before you activated your components, no trigger occurred. You can remove the contacts and re-add them in order to trigger them for the email.
Contacts can be added to groups in multiple ways.
Editing the contact record
You can add an individual contact to a group by clicking into their contact record and check the box next to that group. If that group is tied to a workflow and automated series you will see icons notifying you. Once you click save, they will be added to the group.
Manual Import
Contacts can be added to groups in an automated series through the normal import process by choosing to add the imported contacts to a specific group.
Data Sync
As with a manual import, a data sync can be set-up to push contacts to a specific group to kick off and automated series.
API
You can also add contacts to groups to trigger an automated series by making an API call.
Queue Contacts to Emails Directly
One final way you can add contacts is to queue them directly into an email (rather than add them to the group feeding the email). You may utilize this feature if you want to add someone to an email being fed by a dynamic group or decision which the recipient may not match or to add them somewhere in the middle of an existing workflow. To add them, do a search to find the contact(s) you wish to add on Contact Search. Select the contact(s) you wish to add and click the Add to Email icon to add them to an automated email directly.
In the next window, type in the automated email you wish to add your contact(s) to. Prior to adding them you will get a preview of the title, subject, delay, limit, and daily schedule for the email. NOTE: Delays and limits may prevent a contact from receiving the email. To proceed, click the Queue Contacts button. Contacts added to emails with delays (i.e. wait for 7 days prior to sending the email) will not receive the email until the delay has expired.
